It's not about staffing — it's about systems

Updated: 2 days ago

Last fall I wrote about spending $3,000+ on new landscaping at a local nursery — and never hearing a single word from them afterward. No check-in. No tips for keeping my new plants alive. No "hey, how's everything looking?" Nothing.

Then I ran into my design consultant at a home and garden show this weekend.

I mentioned that following up with design clients would be a nice touch — I even shared that some of my plants didn't look like they were coming back this spring.

Her response?

"We're a small business and we're short-staffed."

"We have YouTube videos online if you need help."

"You could have called us."

I nodded.

Internally? I was rolling my eyes.

Here's what makes those responses even more striking: their own website boasts hundreds of landscape designs per year, noting they're Western North Carolina's largest garden center.

They offer commercial wholesale accounts, hold contractor and pesticide licenses, and are fully insured and bonded.

And this — this is what their website actually says: "We're here to build lasting relationships."

What a simple, automated system could have looked like to truly build a lasting relationship:

  • Day 1 after installation: A thank-you email. "We loved working with you! Here are a few tips to help your new plants thrive this first season."

  • Week 6-8: A check-in. "How's everything looking? We'd love to see photos — and if anything needs attention, we're here."

  • Seasonally: A gentle touch. "Spring is the perfect time to add to your landscape. As a past design client, you get first access to our new arrivals."

That's it. Three emails. Set up once. Zero staff required. And just like that, a transaction becomes a relationship.

What can automation do for you?

It can make every customer feel seen. It can turn a one-time visitor into a regular. And it can do all of that while you're busy doing everything else that keeps your studio running.

You don't need more staff. You need a system.

Already using Square? You can set this up today. Square Marketing (available with Square Plus or Premium) lets you automate welcome emails, check-ins, and re-engagement campaigns with a one-time setup. If you're using a different system, Mailchimp integrates with most POS platforms and gives you the same capability.
